Learn how to easily view your generated invoices, ensuring accurate information and make easy edits before sharing with parents and carers.

Introduction

After generating an invoice, it is important for you to view the data to ensure its accuracy and apply any last-minute alterations (Funding). All before downloading them to share with parents and carers.

We have developed an easy-to-read Invoice that holds all the key details for your children at your Early Years setting while laying it out in a clean yet visually appealing style that will elevate your business to the next level.

How do I view an Invoice?

To view an invoice you must follow these steps:

Step 1 - Select a child with known invoices available to expand the Attendance & Invoicing table

Step 2 - Select 1 invoice that you would like to view

Step 3 - Ensure that you have only 1 invoice selected

Step 4 - Select the Action Menu in the top right-hand corner

Step 5 - Select View Invoice

This will launch the View Invoice Page

Invoice navigation

Our Invoice is made up of key details:

Invoice Header

  1. Invoice Status - Get a snapshot of the status of your invoice

  2. Company Name - The name or your Early Years business

  3. Invoice Number - Auto Generated

  4. Invoice Name - Defined by your date range selections

  5. Child's Name - ...

  6. Invoice Date - Definated by Create Date

  7. Invoice Period - Date range, Academic Year OR term time based on your settings

  8. Due Date - When is this invoice due for payment

  9. Invoice Total - Total value of fees removing any reductions such as Funding

Attendance Data

  1. Week-by-week breakdown - View in a tidy week view

  2. Sessions Booked - Bookings from your created Sessions

  3. Extras Booked - Bookings from your created Extras

  4. Itemised Fees - A summary of your week in written form

  5. Total Paid - Total value paid, based on Invoice status (Status: Paid, will update this value)

  6. Current Amount Due - Outstanding payments on this invoice

Funding

Last but certainly not least, we have Funded at the bottom of the page. You can learn about applying Funding to an invoice in our dedicated help article below:

Funding can be presented on an invoice in 2 ways.

  1. Before Reduction - No funding applied, Funding is editable

  2. After Reduction - Funding is applied and reduction is taken from the invoiced attendance and extras values.

Hints: Funding is not editable. To edit funding, you must void an invoice and start again. More than 1 funding can be applied to 1 invoice. Simply repeat the process and it will continue to add additional lines of reduction to the invoice.
