Download invoices individually or in bulk, either as PDFs for parent sharing or CSV files for your accounting software of choice

Introduction

When that time of the month arrives to share invoices with parents, download your invoices either individually or on mass with ease.

Manage your finances elsewhere? Simply export your finances ready to upload them directly into your accounting software of choice.

What setup is required?

In order to download an invoice you will have first learned how to generate one:

How to download an invoice?

There are two types of Invoice downloads:

1. Download PDF

Download in an easy-to-read format, ready to send directly to parents and carers for processing payments.

2. Download as CSV - Accounting Integration

Download invoices in a CSV format, ready to use in Excel, or importantly ready for importing into your accounting software of choice. We offer configurations for exporting invoice data to Quickbooks, Xero and Sage

Step 1 - Select an invoice for a child

Step 2 - Navigate to the top right corner and select the Download icon

Step 3 - Select the download settings you require

  1. Selected Children - Invoices can be downloaded either individually, multiple invoices for 1 child, or multiple invoices for multiple children. Her you will see the current selection and make any last-minute updates.

  2. Format - Choose to download as PDF or in CSV (Excel) format

  3. Save As - Name your Invoice(s).

    • Individual Invoices will be assigned the name input

    • Multiple Invoices will download a .Zip folder with each invoice included

    Step 4 - Select Confirm to download your invoice

Sharing invoices with parents and carers

Now that you have downloaded an invoice you will be able to share this with the parents and carers associated with the children's billings. Simply send the invoice using your own Nursery Story messaging centre, or simply send it to them in an email.
