Easily configure your Early Years setting's academic year and term schedules using the Attendance Calendar feature

Introduction

The Attendance Calendar is an important part of setting your opening schedules for your Early Years setting. Here you will create your Academic years and set your term times which are to be used throughout the system across many of our features. To get the best out of your Nursery Story platform, this is an essential feature to set up well in advance of a new academic year commencing.

Who will benefit from the Attendance Calendar?

The target audience for the Attendance Calendar includes:

Early Years Practitioners: Professionals working directly with young children in nurseries, pre-schools, and early years settings who are responsible for managing attendance and invoicing or as room leaders dealing with daily registers.

Nursery Owners and Directors: Individuals in leadership roles who oversee the operations and management of nursery settings, seeking efficient solutions to streamline administrative tasks.

Operations Managers: Professionals responsible for the day-to-day operations of early years settings, including scheduling, attendance tracking, and invoicing.

Administrative Staff: Individuals handling administrative tasks in nurseries, such as managing bookings, generating invoices, and maintaining attendance records.

Parents: While not the primary target audience, parents also benefit indirectly from the Attendance Calendar and Invoicing module, as it ensures accurate invoicing and provides transparency in attendance records.

Navigating to the Attendance Calendar

The first step is to navigate to the Attendance Calendar from the Settings Overview page

Navigate to: Settings > Attendance Calendar

Setting up Academic Years

Depending on how you run your Early Years setting, you will choose to setup Attendance Calendar the way best suited to you. We have 2 suggested configurations although you can customise your setup in whatever way best suits you:

  1. Full Setup

    Take full advantage of all Nursery Storys features and run clear analysis broken down by terms. Run comprehensive bookings patterns based around term dates and clearly run invoicing broken down by period.

  2. Basic Setup

    Quick and easy to setup, simply add an academic year from start to finish without including terms or holidays. Best suited for customers only looking to use our basic essentials suite of features.

Adding an Academic Year (Full Setup)

To add an Academic year, follow these steps:

Step 1 - Select '+ Add Academic Year'

Understanding the Academic Year properties

  1. Title - Name your academic year, this should reference the years in use. eg. 2023/24

  2. Academic Year Date range - This date range will auto-populate and provide the full date range for any terms set below

  3. Term Name - A description to be used to identify individual terms. eg. Autumn

  4. Term Days - A date range to include the first and last date of the FULL term. eg. Autumn term: Mon 04/09/23 --> Fri 22/12/23

  5. Half-term Holiday - Outline your half-term dates, this date range must fall within the term days date range. eg. Sat 21/10/23 --> Sun 05/11/23

  6. End of term Holidays - Set your holidays that separate your term dates. This must start and end the day immediately after or before any term days and leave no gaps. eg. Sat 23/12/23 --> Mon 09/01/24

  7. Add New Term - Add additional terms to build your academic year. eg. Autumn, Spring, Summer.

Step 2 - Input all values for each field (There must be no gaps between date ranges)

Step 3 - Choose the number of terms you wish to input to make up your academic year

Step 4 - Select Save

Once Completed you will have created your first Academic year

Adding an Academic Year (Basic Setup)

If you only require the Attendance Calendar to cover the basic start and end date of the year and have no use for any further advanced features, you can opt for our Attendance Calendar Basic setup.

Step 1 - Select + Academic Year

Step 2 - Add Title

Step 3 - Enter "Full Year" into the term name

Step 4 - Set a date range from 1st day of the academic year to the last day of the summer holiday E.G. 4th September --> 31st August

Step 5 - Select Save

Your basic Academic year will look something like this:

Why would I use the Basic Setup?

  • I am an Essentials user and do not use some of the more advanced functions

  • I have no need to break my reports into terms. Full years are my only interest

  • All my children attend All-Year-Round and i have no need to enter holidays.

What if I receive error messages?

You might be requested to update your Academic year before it will allow you to successfully save your Year. If this happens, you will be provided with guide information on what is required in order to successfully save your academic year.

Edit an Academic Year

Academic years can be edited at any time. to do this:

Step 1 - Select an Academic Year

Step 1 - Select the Edit Icon

Step 3 - Update the fields

Step 4 - Select Save

Hints: Any updates will take immediate effect across the entire platform and all filters will be immediately updated to cater for any changes. The exception is with children's booking patterns. Children's booking patterns use the details available at the time of adding a booking and once added are set.
