Introduction

The Occupancy FTE% report is a powerful tool for nursery managers seeking to strategically analyse occupancy figures. It provides both global and granular data based on planned attendance.

The report displays two charts: a Full-Time Equivalent (FTE) chart and an Occupancy Percentage chart. Each offers a monthly average of booked sessions, presenting a year's data from the current month. These calculations consider your nursery's opening hours and the individual room capacity along with the child's booked sessions.

Accessing the Occupancy FTE % Report

Navigate to: Report > Room Analysis > Occupancy FTE% to access this report.

Once on the report page:

  1. Select the desired start month for reporting.

  2. Click on 'Generate' to create your report.

  3. Choose between 'FTE' and '%' to view the respective reports.

By utilising the Occupancy FTE% report effectively, you can make informed, data-driven decisions to optimise your setting's performance.

Full-Time Equivalent (FTE)

Full-Time Equivalent (FTE) refers to the proportional measure of a child's attendance, with 1 FTE indicating full-time attendance.

FTE = Hours Scheduled / Total Hours Available

Example 1: A child attending full-time, Mon-Fri, all year round = FTE 1

Example 2: If a full-time week in your setting is 40 hours, and a child attends for 20 hours per week, the FTE for that child would be 0.5. This means the child is attending half the time of a full-time attendee.

FTE for a child, room or entire setting

  1. FTE for a child has been covered above

    FTE = Hours scheduled / Total hours available

  2. FTE for a room is a calculation of the sum of each childs FTE based on the capacity of a selected room

    Room FTE = Sum of hours scheduled for all children / Room capacity

  3. FTE for a setting is a calculation of the sum of ALL Children's FTE based on ALL rooms capacity

    EY Setting FTE = Sum of hours scheduled for all children / Sum of all rooms capacity

Occupancy Percentage %

The percentage % report provides an alternate perspective of the same data, offering a different visual representation that some users may find more intuitive. Although it's based on the same underlying figures, the data is displayed in a distinct manner.

Maximising the Use of this Report

This report can provide your staff with a snapshot of your setting's occupancy, allowing for:

  1. Forecasting overall occupancy - With either FTE or percentage views, staff can plan staffing levels and financial forecasts.

  2. Identifying low demand periods - Managers can proactively plan and implement strategies to improve business performance, including marketing campaigns to attract new customers and retain existing ones.
