Adding a new room

How to create a new room where a key person or child would be based.

Create rooms to reflect how your setting is organised (e.g., Baby Room, Toddlers, or a single General Space). Rooms help with capacity, ratios, availability, and assigning a key person.

Add a new room (2โ€“3 mins)

  1. Click + Add Room.

  2. Choose a colour - helps you spot the room quickly across the app.

  3. Name the room - e.g., Baby Room, Toddlers, Pre-school.

  4. Set capacity - the maximum number of children for this room.

  5. Assign staff (optional now) - type a name or click + to add; assign a key person if you use them.

  6. Assign children (optional now) - type a name or click + to add.

  7. Click Save.

Tip: You can add the room first and assign staff/children later - whatever fits your setup flow.


Room views

After creating a room, switch between views to see what you need:

  • Profile - Room name, colour, capacity, quick summary.

  • Children - Who is assigned to this room.

  • Staff - Staff/key people linked to this room.


Edit a room

  1. Open Rooms, select the room, then go to the Room Profile.

  2. Update name, colour, capacity, staff, or children.

  3. Click Save.


Good to know

  • Capacity feeds into availability and occupancy reporting.

  • Assignments (staff/children) help with ratios and key-person workflows.

  • You can reassign children or staff at any time (e.g., when they move up a room).


FAQs

Can I leave staff/children unassigned when I create the room?
Yes. You can add them later; it wonโ€™t block you.

What happens if I change capacity later?
Reports and future planning use the new capacity. Review any over-capacity scenarios that might appear for busy days.
