How do I download or save my data?
Data must be downloaded via a web browser.
It is not possible to export data from the iOS or Android apps.
Please make sure you log in using a desktop or laptop browser (for example, Chrome, Safari, or Edge).
What data can I export?
You can download the following data:
Registers (weekly check-in and check-out times)
Invoices
Monitoring Development reports
Tracking Development reports
Next Steps reports
Children’s individual learning journeys
What data can parents download?
Parents are able to download media only.
How do I download my registers?
To download registers:
Log in via a web browser
Go to the Home tab
In the top-right corner, click the download icon (arrow with a half square)
A download options box will appear
From here, you can:
Download registers by room
Download registers by key person
Download registers by session
Download registers by date
Registers download one week at a time.
To download previous weeks:
Use the By Date option
Select the week you want (for example, last week or earlier)
Click Save, then Download
Repeat this process for each week you’d like to keep.
How do I download invoices?
Invoices can be downloaded, and the steps depend on whether you’re using the new or old invoicing system.
Downloading invoices (new invoicing system)
If you’re on the new invoicing system:
Log in via a web browser
Go to Finance
Click Tracking
From here, you’ll see your invoices
For unpaid invoices:
Select the invoices you want to download
Click Download Invoices
Choose to download as a CSV or PDF
Downloading past invoices (new invoicing system)
To download past invoices for a specific child:
Go to Children
Open the child’s profile
Click the Invoices tab
Click the three dots at the end of the invoice
Select Preview
Click Download Invoice
Downloading invoices (old invoicing system)
If you’re still using the old invoicing system, invoices can be downloaded directly from the old invoicing area within the app.
How do I download Monitoring Development reports?
To download Monitoring Development reports:
Log in via a web browser
Use the main navigation to go to Reports
Click Learning
Select Monitoring EYFS
(or Monitoring for another curriculum, if you have this enabled)
From here, you can:
Download reports for all time or a custom date range
Choose to download the report as a CSV or a PDF
Once you’ve selected your options, click Download to save the report.
How do I download Tracking Development reports?
To download Tracking Development reports:
Log in via a web browser
Go to Reports in the main navigation
Click Learning
Select Tracking EYFS
(or Tracking for another curriculum, if enabled)
From here, you can:
Download reports for all time or a custom date range
Download the report as a CSV or a PDF
Click Download to save the report.
How do I download Next Steps reports?
To download Next Steps reports:
Log in via a web browser
Go to Reports in the main navigation
Click Learning
Select Next Steps
From here, you can:
Download reports for all time or a custom date range
Download the report as a CSV or a PDF
Click Download to save the report.
How do I download a child’s Learning Journey?
To download an individual child’s Learning Journey:
Log in via a web browser
Go to the Children tab
Select the child’s profile
Click on the Learning Journeys tab
Select Download Learning Journey
You can then choose what to include in the download, such as:
EYFS links
CoEL (Characteristics of Effective Learning) links
General observations
Observations not previously shared with parents
Page breaks between sections
Next:
Select a From and To date range
Learning Journeys can be downloaded in six-month blocks only
If you need a longer time period, you’ll need to:
Download the first six months
Then repeat the process for the next six months
Tip:
If the Learning Journey includes a lot of photos or observations, we recommend downloading shorter date ranges (less than six months) to avoid issues with large files.
If you experience any issues downloading Learning Journeys, please contact us before the closure date and we’ll do our best to help.
Downloading media from a child’s profile
To download photos or videos linked to a child:
Log in to the Parent App
Select your child’s name
Open the Media section
Tap on the photo or video you’d like to save
Use your device’s download or save option to store the media on your phone
Saved media will be stored in your device’s photo or video library, depending on your settings.
Downloading media from messages
If media has been shared within messages:
Open the Messages section in the Parent App
Open the conversation containing the photo or video
Tap on the media item
Save or download it using your device’s options
Important notes for parents
Media must be downloaded manually, one item at a time
There is no bulk download option for parents
Parents can only download media that has been shared with them
If you’re unable to save a photo or video, please check your phone’s permissions for the app (Photos / Media access)
If parents are having trouble downloading media or can’t see items they expect to, please contact us before the closure date and we’ll be happy to help.
What if I need to download other data (for example, accidents or incidents)?
At the moment, some data types - such as accident records, incident reports, or other in-app logs - cannot be exported as a PDF or file download.
We’re really sorry about this limitation.
If you need to keep a copy of this information, we recommend:
Opening the relevant record in the app
Taking a screenshot so you have a copy saved on your device
Unfortunately, this is the only way to retain this data before the app closes.
