Create Your Nursery Sessions

Set up session types your nursery offers, including timings, pricing, and age ranges.

Before you can build child plans or raise invoices, you’ll need to set up the sessions your nursery offers.
Sessions are created in:

Finance → Settings → Sessions

This is the first tab you’ll see when you open Finance Settings.


1. Add a New Child Session

Click Add child session.
A box will appear where you can define the session details.

You’ll need to enter:

  • Session name

  • Acronym (short code shown across the platform)

Next, choose whether this is a:

  • Flexible session, or

  • Structured session


2. Flexible Sessions

Flexible sessions are useful for nurseries that do not have fixed start and end times, and instead vary by child.

When to use Flexible Sessions:

Use flexible sessions if:

  • Children start or finish at different times every day

  • You bill by hour

  • You don’t want to fix the times in advance

What flexible sessions look like:

  • You do not enter start/end times here

  • You only enter price per session or price per hour

  • The start and end times will be added later, in each child’s booking plan


3. Structured Sessions

Structured sessions have a fixed start and end time for all children.

Examples:

  • Morning Session (8:00–12:00)

  • Afternoon Session (12:00–16:00)

  • Full Day (8:00–18:00)

When creating a structured session:

  • Enter Start time

  • Enter End time

  • Choose Price per hour OR Price per session


4. Pricing by Age Range

Nursery Story allows you to price sessions differently for:

  • Under 1

  • 1–2 years

  • 2–3 years

  • 3+ years

If pricing is the same across all ages, simply enter the same number in each field.
If you charge differently by age, add the correct value for each band.


5. Save Your Session

Click Add when you're happy with the details.

Your new session will now appear in the Sessions list.


6. Managing Your Sessions

In the Sessions tab, you can:

  • Search sessions

  • View active vs archived sessions

  • Click any session to view:

    • Session details

    • How many children are using it

    • Pricing structure

    • Start/end times (if structured)

Control buttons (top right):

  • Edit – update session details

  • Deactivate – hide from future use

  • Delete – permanently remove the session

Important:

You cannot deactivate or delete a session if it is currently used in any active child plan.

To remove it:

  1. Remove the session from all active plans

  2. Return to the session settings

  3. Deactivate or delete it


You’re all set!

Your sessions are now ready to be added to child plans and will feed automatically into registers and invoicing.
