Occupancy FTE %

What it shows

This report gives a 12-month view (from the current month) of:

  • FTE (Full-Time Equivalent) — monthly average of booked hours as a proportion of full-time.

  • Occupancy % — the same data shown as a percentage.

Both calculations use your opening hours, room capacities, and each child’s booked sessions.

Reports → Room Analysis → Occupancy FTE %


How to use it

  1. Select the start month.

  2. Click Generate.

  3. Toggle between FTE and % to switch chart views.

Use this to spot trends, forecast staffing, and plan marketing around quieter periods.


Definitions & formulas

Full-Time Equivalent (FTE)

Proportion of a child’s scheduled hours relative to a full-time week in your setting.

Child FTE:
FTE = Hours scheduled ÷ Total hours available

Examples

  • Full-time child (all opening hours): FTE = 1.0

  • If full-time = 40h/week and a child attends 20h/week → FTE = 0.5

Room FTE:
Room FTE = Sum of hours scheduled for all children ÷ (Room capacity × Full-time hours)

Setting FTE:
Setting FTE = Sum of hours scheduled for all children ÷ (Sum of all rooms’ capacity × Full-time hours)

The Occupancy % view is the same data expressed as a percentage.

Quick conversion

  • FTE 1.0 → 100%

  • FTE 0.75 → 75%

  • FTE 0.5 → 50%

  • FTE 0.33 → 33%


Tips to get accurate results

  • Ensure rooms, capacities, opening hours, and children’s sessions/bookings are up to date.

  • Use the % view for quick at-a-glance occupancy; switch to FTE when planning hours and staffing.

  • Compare months to identify low-demand periods and schedule outreach or offers to fill gaps.
