Yearly Availability

Maximise occupancy with a clear, year-ahead view of daily spaces by room.

What it is

Yearly Availability shows available spaces for the next 12 months, starting from the current week. It calculates availability from your room capacities minus the number of children booked each day, and respects your closed days (e.g., weekends/holidays).

Example: Room capacity = 12. Booked = 5. Available = 7.

Look for the icon beside the report title for a quick summary of how totals are calculated and which days are excluded.


Where to find it

From Home go to Reports → Room Analysis → Yearly Availability.


How it works (behind the scenes)

  • Capacity comes from each room’s settings.

  • Bookings come from children’s sessions/patterns in that room.

  • Closed days are hidden or marked (per your settings), so numbers reflect actual operating days.


Before you start (setup checklist)

Make sure these are in place for accurate numbers:

  • Children added (Children → Add child)

  • Rooms created (Settings/Rooms)

  • Sessions created (Settings/Sessions)

  • Children’s bookings added (Bookings/Schedules)


Using the report

  • Identify free spaces: Quickly see where you can add children or upsell extra sessions.

  • Spot pressure days: Find overbooked or near-capacity days and adjust staffing or schedules.

  • Plan capacity: Use the year view to plan staff rotas, food orders, and resources.

  • Manage waiting lists: Offer places confidently without exceeding capacity.


Tips

  • Keep room capacities and session patterns up to date for accurate availability.

  • Use filters/date navigation to jump to key periods (e.g., term starts/holidays).

  • Pair with Room Occupancy and Attendance reports for a full picture of utilisation.
