Setting up the Attendance Calendar

Easily configure your childminding business academic year and term schedules

Configure your academic year and term dates so registers, bookings, invoices, and reports line up with how you work.

Important: Adding term dates (e.g., mid-term or end-of-term holidays) does not close your setting. Term dates are signals for “term time vs. holidays.”
To mark days when you are not open and cannot take bookings, use Closure days.

What it controls

  • Academic year: your year’s start and end dates

  • Term dates: blocks that label time as term or holiday (for planning, reporting, and comms)

  • Closure days: specific dates when you are closed (no registers or bookings on these dates)

How to set it up (5–10 mins)

1) Create your academic year

  • Title: Enter a clear name, e.g. 2025–2026.

  • Do you use terms?

    • Yes (term-based): Add your first term name (e.g. Autumn Term) and select its start/end dates. You’ll add Spring/Summer (and any half-terms) next.

    • No (year-round): Add a single term name (e.g. Year Round) and set the full year dates.

  • Optional: Add half-term breaks and end-of-term holiday blocks if you track them.

  • Note: The academic year range is calculated from your terms. If you use one year-round term, the academic year will mirror that range.

  • Click Save.

After saving, you’ll see your academic calendar: details on the left-hand side and the calendar view populated with your dates.

Holidays: These do not close your setting; they simply label time as holiday vs term.


2) Add more terms (if needed)

  • Repeat Add term for Spring/Summer.

  • Add half-terms only if you want to track them.


4) Review & confirm

  • Check the year is covered by terms/holiday blocks with no overlaps.

  • Make sure closure days are on the correct dates.


Changing dates later

  • You can update future dates any time.

  • If you change dates mid-year, review affected booking plans and invoices to ensure they still match your schedule.

FAQs

If I add a mid-term holiday to the calendar, are we closed?
No. Term/holiday blocks are labels only. To be closed, add a Closure day.

Do closure days affect registers and bookings?
Yes. Closure days block bookings and show as Closed in registers.
