Tracking and Managing Invoices

Once invoices are sent, they’ll move off the Invoicing ✨ tab and into the Tracking ✨ tab — your new hub for staying on top of payments.


Overview

At the top of the Tracking tab, you’ll see a quick summary of:

  • Sent invoices

  • Overdue invoices

  • Invoices marked as “Paid - Approval” (awaiting your confirmation)

Use the filters to:

  • Search by child name

  • Filter by year

  • Filter by invoice status


Reviewing Invoices

In the table, each child’s row includes:

  • A Preview button to see the full invoice

  • A 3-dot menu with key actions:

    • Download the invoice (PDF or CSV)

    • Change status (e.g. to Paid or Voided)

    • Void invoice


Voiding Invoices

If you notice a mistake, you can void the invoice at any time.

Voiding will:

  • Remove the invoice from the parent app

  • Return all bookings in that invoice to an uninvoiced state — ready to edit and re-invoice

⚠️ Once voided, the invoice disappears from the Tracking screen.


Marking Invoices as Paid

Parents can mark invoices as paid in the Parent App once they’ve completed payment. This updates the status to:

Paid - Approval

This means the invoice requires your confirmation.

Once you’ve checked your bank and confirmed payment, mark the invoice as Paid in Nursery Story.

✔️ This final step moves the invoice from Tracking into the child’s profile under the Invoices ✨ tab for record keeping.


Bulk Actions

You can select multiple invoices to:

  • Mark as Paid

  • Void in bulk

Just tick the boxes next to the children, and the Change Status button at the top will activate.
