Ad Hoc Bookings and Absences

Not everything fits into a weekly pattern — that’s why Ad Hoc Bookings and Absences exist. Here’s how to use them and what to watch out for.


When to Use "Ad Hoc Booking"

Use Ad Hoc Booking to add:

  • One-off sessions (e.g. an extra day)

  • One-time extras (e.g. a late collection fee, nappies, meals not in the plan)

How it works:

  • Click Ad Hoc Booking

  • Choose the session or extra

  • Select the date

  • Adjust quantity (for extras), and save

Ad hoc sessions appear on the calendar with a C icon and will be included in your next invoice.


Using "Create Absence"

Use Create Absence to log:

  • Holidays

  • Sickness

  • Unattended days

How it works:

  • Click Create Absence

  • Select the absence type (e.g. Holiday, Sick Day)

  • Choose the date range

  • Add optional notes

Absences appear on the calendar but don’t currently affect invoicing.


Important: Absences Don’t Block Billing (Yet)

At the moment, logging an absence won’t stop charges from being added to invoices. So sessions or extras booked during an absence will still be billed.

Good news: We’re rolling out automatic billing adjustments for absences in early August 2025.


🛠️ Recommended Workaround

To avoid billing during an absence:

  1. End the plan the day before the absence starts

  2. Create a new plan beginning the day after the absence ends

This gives you full control until automatic absence handling is released.
