Understanding the Booking Calendar

Once you’ve created a plan, the calendar becomes your visual hub for a child’s schedule. Here's how to read and use it effectively.


Booking Calendar Icons

Each day in the calendar can show a mix of session types. Here's what the icons mean:

  • P = Plan Booking (created through a plan)

  • C = Custom Booking (added manually)

  • = Invoiced (this booking has already been invoiced)

These icons help you quickly spot what's booked, what’s been sent, and what still needs attention.


Calendar = Preview, Not Editor

Unlike the old system, you can’t make changes directly from the calendar. It’s now a view-only tool.

To update a child’s bookings:

  • Use the three buttons above the calendar:

    • New Plan: Create or edit a recurring schedule

    • Adhoc Booking: Add one-off sessions or extras

    • Create Absence: Log sickness, holidays, or other absences

🔄 Need to change a booking? Go back to the plan or use Adhoc Booking — don’t try clicking the calendar.


Viewing What’s Booked

Click on a date in the calendar to preview:

  • Which sessions/extras are booked

  • Which are invoiced

  • Where funding has been applied

This gives you a clear breakdown without risking changes.


Editing or Removing Items

To edit anything you see:

  • Planned sessions → Go to the plan and edit

  • Adhoc bookings → Use the Adhoc Booking button

  • Absences → Use the Create Absence button

Each type of booking has its own edit path — the calendar is just your overview.
